Joint Council Executive Assistant

Program:  Environment Office of the Saugeen Ojibway Nation 

Reports to: Senior Manager

Accountable to: Senior Manager, Saugeen Ojibway Nation Environment Office

Terms of Employment: Full Time Permanent

Salary: $61,000 to $72,000 (depending on experience)

Hours of Work: 37.5 hours per week (some evenings and weekend may be periodically required)

Job Location: Wiarton, Ontario (Not remote work) regular local travel in SON Territory

Anticipated Start Date: Immediately 

Closing Date: November 10, 2025 

Priority will be given to qualified Saugeen Ojibway Nation members

Required Experience: 

  • Minimum 2 years of experience in an administrative assistant role
  • High school diploma or equivalent
  • Minimum of 1 year of experience working within an Indigenous community

 

Recommended  Experience: 

  • Minimum 5 years of experience in an administrative role preferably non profit or government organization
  • Previous experience in political office to understand protocol and processes
  • Post secondary education in a related field
  • Ability to communicate Anishinaabemowin is not required but highly preferred

Job Description:

  • Manage the Joint Council calendar and scheduling of meetings 
  • Collect agenda items from leadership, EO staff, legal and/or proponents to assist with the preparation of agendas, attend meetings, record minutes and follow-up on action items 
  • Manage and maintain records, documents and correspondence related to the Chief and Council's work, ensuring their confidentiality and security 
  • Collaborate with the Chiefs and Senior Manager on review of agendas
  • Tracking Joint Council attendance and submit attendance sheets to each Council Executive  Assistants
  • Assist with compiling committee attendance sheets from EO staff, ensuring account coding is accurate, and preparing invoices for council honorariums
  • Draft and review correspondence, reports and other documents on behalf of the Chiefs and Councils  
  • Collaborate and coordinate joint council meetings and special meetings with the Executive Assistants at both Saugeen and Neyaashiinigmiing  
  • Assist with the management of budgets, expenses and financial records related to the Joint Council activities 
  • Manage the distribution and dissemination of information and materials to Joint Council 
  • Respond to inquiries and requests from stakeholders and members of the public 
  • Other duties as assigned by the Joint Council.
  • Advanced knowledge of Google Workspace including Google Sheets, Docs, and Slides
  • Ability to learn new applications, such as Basecamp
